We're looking for a strategic partner who can blend the organizational excellence of an EA with the strategic mindset. You'll work directly with our founders to maximize their effectiveness, streamline operations, and help drive company growth. As an EA, you'll be the critical force that amplifies our founders' productivity and impact. You'll take ownership of their time management, communications, and administrative workload, allowing them to focus on high-leverage activities that move Shuttle forward. Among other things, these are some of the key areas you'll focus on:

  1. Strategic Agenda Planning Optimize founders' calendars by aligning schedules with business priorities, creating focused work blocks, and ensuring effective meeting preparation Proactively manage meeting quality through clear agendas, goals, and contextual information Conduct weekly time audits and optimize workflows to maximize productive time
  2. Email & Communication Management Streamline email with intelligent filtering, prioritization, and actionable summaries Draft professional communications that align with founders' voice and strategic objectives Create systems to ensure only high-priority communications require direct founder attention
  3. Administrative Excellence Help manage travel, organising events, financial admin, and other operational aspects Enhance visibility through social media and content repurposing Drive internal engagement with surveys, documentation, and process improvements
  4. Hiring Support Help drive our hiring so we hire top notch candidates as quickly as possible Exceptional written and verbal communication skills Strong project management abilities with meticulous attention to detail Proficiency with productivity tools (Google Workspace, Notion, etc.) and ability to pick up new ones easily Good familiarity with AI tools (ChatGPT etc.) Ability to anticipate needs and take initiative without direct supervision Adaptability and comfort with ambiguity in a fast-paced environment Excellent judgment and discretion when handling confidential information Experience in executive support, preferably in high-growth startups or tech companies Experience working with technical founders or in developer-focused companies Background in operations, chief of staff, or founder associate roles Understanding of startup growth dynamics and priorities Experience with event planning and community engagement Knowledge of developer tools, platforms, or infrastructure Onboarding Period Intensive first week working directly alongside the founders Documentation of all recurring tasks and communication processes Creation of templates and systems for common workflows Establishment of regular feedback loops Communication Guidelines Clear definition of preferred communication methods Tiered priority system for different types of tasks Established response time expectations for varying urgency levels Progressive Responsibility Initial focus on well-defined tasks with clear boundaries Gradual increase in autonomy and decision-making authority Regular evaluation of additional areas for delegation Success Metrics Time saved for founders (quantifiable hours per week) Response time on critical communications Preparation quality for key meetings and events Accuracy of priority assessment Team and founder satisfaction with support We've designed a straightforward process to find the right partner: Culture Screen (30 minutes) - A conversation to explore alignment with Shuttle's values and working style Case Study - A practical exercise that simulates real-world scenarios you'd encounter in this role: Email prioritization and response drafting Calendar optimization challenge Strategic planning scenario Founder Interviews (60 minutes) - Direct conversations with the founders to discuss your approach, experience, and mutual fit Shuttle Super Day - one full day working for the founders Reference Checks - Brief conversations with past colleagues or managers Offer - Comprehensive package including compensation, equity, and benefits We respect your time and aim to complete the entire process within 2-3 weeks.
